Terms & Conditions

Last updated 2 August 2026

These terms govern your use of Reflective Lens, a coaching reflection service provided by Reflective Lens. By creating an account or continuing to use the service you agree to them.

1. Who you are contracting with

Reflective Lens is operated by Reflective Lens (“we”, “us”). Your agreement for use of the service is with us. You must be of legal age to enter into this agreement, and if you accept these terms for a club or organisation you confirm you have authority to bind it.

2. What the service is

Reflective Lens helps football coaches capture session notes, answer guided reflection questions and generate written session and period reports with AI assistance. It is a reflective aid — a mirror, not a verdict. It does not provide medical, safeguarding, legal or professional assessment of any player.

3. Your licence

We grant you a limited, non-exclusive, non-transferable right to use the service for your own coaching within the plan you have selected. You may not resell or redistribute the service, reverse engineer it, or circumvent technical or plan limits.

4. Your account

  • Keep your login credentials confidential — you are responsible for activity under your account.
  • Provide accurate information and keep it up to date.
  • You are responsible for the content you record, including having a lawful basis for recording notes about players you coach.

5. Acceptable use

You must not misuse the service. In particular you must not:

  • use it unlawfully, or for fraud, spam or harassment;
  • infringe anyone's intellectual property or privacy rights;
  • upload malware, probe, scrape or otherwise interfere with security or availability;
  • attempt to generate illegal, hateful, defamatory or abusive content, or use reflections to build unlawful profiles of children.

6. AI-generated content

  • Reports, questions and summaries are generated with AI models and may be inaccurate or incomplete. Always review them before sharing.
  • Outputs are not a substitute for professional judgement, safeguarding processes, or medical, legal or educational advice.
  • You are responsible for the notes you write, the prompts you provide, how you use outputs, and for confirming you have the rights to any content you input.
  • You keep the rights in the notes you write; we do not claim ownership of your content and only host and process it to provide the service.
  • We may refuse, filter or remove content, and restrict or suspend accounts, where content breaches these terms. Rights-holders and affected individuals can contact us to request removal; repeated infringement leads to termination.

7. Our intellectual property

We retain all rights in the service, including its software, prompts, documentation, branding and design. These terms grant no rights in them beyond use of the service.

8. Service level

We work to keep the service available and dependable, but we do not guarantee that it will be uninterrupted, timely or error-free. To the fullest extent permitted by law we disclaim implied warranties, including merchantability and fitness for a particular purpose.

9. Plans, billing and cancellation

  • Every new coach gets a 30-day free trial with full access and no card required.
  • After the trial you can subscribe to the Coach plan monthly or annually. Without a subscription your account becomes read-only: existing notes and reports stay readable and exportable.
  • You can cancel at any time. Cancellation stops future renewals and you keep access until the end of the period you have already paid for. Deleting your account cancels your subscription immediately.
  • Payment, billing, tax, invoicing, cancellation and refund mechanics are handled by our reseller. See Paddle's Buyer Terms and our refund policy for the 30-day money-back guarantee.

10. Reseller and Merchant of Record

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.

11. Suspension and termination

We may suspend or terminate access for material breach of these terms, non-payment, a security or fraud risk, or repeated or serious policy violations. When access ends you can export your notes and reports; after account deletion your data is removed in line with our privacy notice.

12. Liability

To the extent permitted by law, we are not liable for indirect, consequential or special losses, including loss of profits, data or goodwill, and our total liability is capped at the fees you paid in the 12 months before the claim. Nothing excludes liability for fraud, death or personal injury caused by negligence, or any liability that cannot lawfully be excluded. You indemnify us against claims arising from your content, unlawful use, or breach of these terms.

13. Changes, law and contact

We may update these terms; material changes will be notified in the app or by email. These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction. You may not assign this agreement without our consent; we may assign it as part of a merger or acquisition. Neither party is liable for delays caused by events beyond reasonable control.
